Tenant Coordinator – Ingka Centers

To be successful in the role we believe that you will bring a competent and qualitative process for on-boarding / off-boarding / renovation / relocation in the Mixed-use Meeting Place by securing tenant’s compliance of the relevant standards and procedures through internal and external collaborative efforts. Project coordinator will be part of the Project team, reporting to the Project Tenant Coordination Manager.

You have expertise of:

• Tenant Coordination and/or project management skills with 7 years of experience in Grade A retail development (experience in large mixed-use developments with a high retail component is highly desirable) with the knowledge and ability to review tenant designs and technical aspects of the premises.
• Candidate should be having a bachelor’s degree.
• Excellent understanding of Design and Technical principles and environments
• Experience in managing document flows and schedules
• Passionate about increasing tenant value by understanding their needs and demands
• Self-Driven with the ability to view concerns in terms of quality, cost, profits, market leadership and value accretion and take pragmatic decisions.
• Maintain and ensure that the fit-out standard operating procedures, specifications, and manuals relating to all Tenant coordination matters are updated and available.
• Maintain and ensure that all lease exhibits inclusive of Lease Outline Drawings and related plans are updated and available for each tenant unit.
• Ensure together with RE / FM that the premise’s technical specifications are updated and available.
• Lead, manage and support the external tenant coordination service providers.
• Manage the tenant fit-out contributions versus budget.
• Support the Leasing Teams during prospective negotiations, on-boarding, off-boarding, renovations, or relocation negotiations by offering technical support with respect to technical documents, premise conditions and specifications and fit-out works.
• Review tenant drawings and monitor the tenant’s approved project milestones in accordance with the lease.
• Works with Project Development Manager/Project Development Leader and Lease Administration on the delivery of tenant premises.
• Candidate must have experience in MS Office Tools and Drawing Review Software (E.g., AutoCAD)
• Ensure that the tenant adheres to all the design and construction criteria, safety and security protocols, internal and external compliances.
• Maintain the database of all the tenant’s “as built” documentation and approvals.
• User experience - Knowledge of how to structure and present information in all touch points that makes sense to end users
• Process thinking – knowledge of planning and maintaining a work process with end-to-end thinking
• Applying Industry Insight – Applies knowledge of Industry trends, outlooks and emerging technologies to achieve organizational goals and objectives
• Negotiating – explores alternatives to reach outcomes acceptable to all parties.


Ingka Centers is in the middle of an exciting journey, where we create and develop Meeting Places, into something way beyond an ordinary shopping Centre. As Tenant Coordinator, you have an important function in this journey by securing the right and most relevant retail partners in our Meeting Places in Gurgaon. We give you the opportunity to be a part of a journey where we are taking an important step forward in renewal and reconstruction to create innovative solutions for the meeting place of tomorrow.

Tenant Pre-Fit-out Phase:

• Assist in the preparation of the Fit-out Manual, specifications, and departmental operating procedures.

• Coordination with RE for Pre-Check and the Completion of Snags prior to Issue of Fit-out Letter / Handover to Operations.

• Coordination with Tenants and RE / Operations for Joint Inspection, Measurement and Snag completion prior to Tenant Handover.

• Preparation of Unit reports on Site Survey and Joint Measurements, Handover (to Tenant) and Takeover (from Tenant) (Site Dilapidation)

• Preparation and Issuance of the Lease Outline Drawings and the Tenant Design Package to the tenant.

• Conduct, Coordinate & Oversee Design reviews with the Tenant / Tenant Consultants as per the outlined guidelines / fit-out manual and the desired expectations from INGKA.

• To review, suggest and approve changes in the tenant drawings as per guidelines /
fit-out manual, INKGA expectation and industry best practices

• To work cohesively with the Design Manager / Project Architect in case of any design clarifications and Coordinating with Leasing, RE, Operations, Risk and Facility Management to ensure all aspects of each project has been collectively accounted for pre, during and post fit-outs stages.

Tenant Fit-out Phase

• To ensure that all required inductions and documentations are completed in coordination with the concerned departments prior to the commencement of physical works on site.

• To ensure that all fit-out related activities are as per the local building rules and regulations/norms, fire & safety compliances, and fit-out manual.

• Co-ordination with the tenants, inclusive of their architects and consultants, from the issuance of the fit-out Letter till the completion of Fit-outs.

• Plan, Schedule, Approve & Monitor the fit-out timelines from handover to store opening as submitted by the tenant.

• To undertake regular and necessary quality and design compliance inspections of the tenant’s premises.

• Coordination with RE / Operations on Man & Material Movement

• Quantification, Budgeting and Billing Processing case of any tenant’s works undertaken by the centre.

Tenant Opening Phase:

• Coordination with Facilities Management for MEP Integration (Store to Centre)

• Coordination with all concerned departments for Store Inspection and Store Opening Clearance

• Issuance of Fit-out Completion Clearance post rectification of Inspection findings.

• Documentation of Approved Drawings, Inspection Reports, Tenant Site Induction Documents, Man & Material movement records, Store Opening Inspection Findings, Receipt of (copy of) Tenants Statutory Approvals and Consultant stamped documents

Performance Indicators:

• Compliance to all established standards and regulations
• Quality of the shop front design
• Store opening as per Rent Commencement Date / Grand Opening
• Efficiency gains from speed to market initiatives (preliminary design to store opening)
• Tenant satisfaction scores/index
